Position: TSFP-Registrar (1)
Duty Station: Tehuleder Woreda, Amhara Region
Duration: 6 Months
ROLE PURPOSE:  
The primary role of the TSFP Registerer is to accurately record the personal details and eligibility criteria of beneficiaries, including age, gender, and nutritional status. He/she verifies and documents identification to prevent duplication or errors. This position holder will maintain up-to-date and accurate records in the TSFP database or logbook. He/she regularly updates the status of beneficiaries, such as admissions, exits (cured, defaulted, or non-responsive), and transfers. Moreover, this position holder will collaborate with TSFP staff (such as health workers, nutrition assistants, and distribution teams) to ensure that all eligible beneficiaries receive their rations on time. He/she will support distribution activities by cross-checking beneficiary lists and ensuring compliance with program standards. Ensure data is correctly compiled for weekly and monthly reporting and identify and report discrepancies or issues in the registration process to supervisors. He/she will provide clear information to beneficiaries about their enrolment status, program eligibility, and entitlements. The position holder will support outreach activities to identify new beneficiaries or address barriers to participation.
Activity Overview
The TSFP Registerer will be responsible for ensuring that all beneficiaries (e.g., children under five, pregnant and lactating women) are registered accurately upon arrival at the TSFP site. He/she verifies the identity of beneficiaries using program documents (e.g., ration cards, and beneficiary IDs). Moreover, he/she will record all required information in the TSFP registers, including beneficiary details such as name, age, sex, household identification, and anthropometric data. This position holder will maintain accurate and up-to-date records of admissions, discharges, and follow-ups. He/she will collaborate with the TSFP measurers, dispensers, and supervisors to ensure a smooth flow of beneficiaries through the program. He/she will report any discrepancies or missing information to the supervisor promptly. The position holder will also ensure that data is properly compiled and submitted to the TSFP team leader or nutrition officer as per reporting schedules. He/she safeguards the confidentiality of beneficiary data, assists beneficiaries in understanding the registration process, and provides clear instructions. Furthermore, he/she will ensure a welcoming and respectful attitude toward all individuals, especially those from vulnerable groups. And follow all program protocols and standard operating procedures (SOPs) for registration. He/she maintains a clean and organized registration area to facilitate smooth operations
KEY AREAS OF ACCOUNTABILITY:
Registration and Documentation

  • Ensure accurate registration of all eligible beneficiaries, capturing essential information such as name, age, gender, and anthropometric measurements.
  • Verify the eligibility of beneficiaries based on admission criteria (e.g., Mid-Upper Arm Circumference (MUAC), weight-for-height, or other nutritional indicators).
  • Maintain and regularly update the beneficiary register and individual cards as required by program protocols.

 Data Management and Reporting

  • Maintain organized and accurate records in both digital and physical formats.
  • Ensure timely and accurate submission of daily, weekly, and monthly reports to the supervisor or data management team.
  • Identify and report data inconsistencies or errors promptly for correction.

Program Support and Coordination

  • Collaborate with health workers, distribution staff, and other TSFP team members to ensure beneficiaries receive their rations and services.

Assist in managing crowd control and ensuring the proper flow of beneficiaries during distributions and 

  • health checkups.

Compliance and Quality Assurance

  • Ensure that registration and documentation follow established TSFP guidelines and protocols.
  • Prevent duplication and fraud by cross-checking beneficiary information with existing records.
  • Maintain confidentiality of beneficiary data and ensure secure handling of sensitive information.

Monitoring and Evaluation

  • Monitor program coverage by ensuring all eligible beneficiaries in the community are registered.
  • Track beneficiary progress and flag cases needing follow-up or referral (e.g., those showing no improvement in nutritional status).

Communication and Community Engagement

  • Provide clear and accurate information to beneficiaries about program criteria, their rights, and responsibilities.
  • Support outreach efforts to inform communities about the TSFP and identify eligible participants.
  • Assist in addressing grievances and feedback from beneficiaries related to registration and service delivery.

Capacity Building

  • Participate in training sessions on TSFP protocols, data management, and reporting.

Provide feedback to supervisors on challenges faced during registration and recommend improvements
QUALIFICATIONS AND EXPERIENCE:
Minimum: High school diploma or equivalent.

  • A certificate or diploma in a relevant field, such as data management, public health, nutrition, or community development is preferable.
  • At least 1 year of experience in data entry, record-keeping, or administrative roles, preferably in a humanitarian or development program.
  • Experience working in nutrition or food assistance programs, especially TSFP or similar interventions is preferred.
  • Previous training on TSFP protocols or nutrition program management is an advantage.

Physical Fitness:

  • Willingness and ability to work in remote or difficult-to-access areas.

 
LANGUAGE: 

  • Fluency in Local Language, Amharic, and English, both written and spoken.
