ROLE PURPOSE: The CP & MHPSS Program Assistant will be responsible for supporting the logistics and administration of the program implementation across an integrated portfolio of Child Protection (CP), Case Management (CM), DI/AC, MHPSS and Gender Equality/GBV programming. She/he will also contribute to effective information and knowledge management. An important aspect of this role is the ability to translate spoken communication in English/Ukrainian in everyday settings along with limited written translation.
KEY AREAS OF ACCOUNTABILITY:Program logistics and administration
- Contribute to planning and organizing of various project events and activities, including trainings, events and workshops as well as distributions of items for children and families
- Under the guidance of the PM, coordinate with different departments (Human Resources, Finance, Supply Chain, etc.) to ensure timely and efficient follow up, delivery and implementation of activities
- Carry out tasks such as preparing of certificates, managing participant lists, liaising with venues, preparing and packing of materials, and other related tasks as requested by the PM
- Prepare payment and procurement requests (including related documentation) for program activities, in coordination with relevant Coordinators and with approval from PM
- Support PM in managing team calendar and tracking movement across program locations, including supporting documentation for business visits and travel.
Information and Knowledge Management
- Draft meeting minutes to document program team discussions and other meetings as needed
- Support with organization and labelling of program team folders
- Support with filing, paperwork and office coordination as needed, including updating the main dashboard trackers, training calendars and database
- Assist PM in team communication and ensuring up to date documentation
- Maintain up to data database of staff and relevant external contacts (partners, interagency coordination focal points and other stakeholders)
- Supporting onboarding of new staff through sharing of key program information, links to folders, orientation to program team and office
Translation
- Support with day to day spoken translation (English/Ukrainian) of meetings and conversations, both in person and remote, as well as limited written translation
- Perform other duties as required in line with qualifications and position.

QUALIFICATIONS AND EXPERIENCE
- Certificate of education, higher level of education desirable
- Minimum 1 year working in an administrative function
- Minimum 6 months experience in translation desirable
- Familiarity with child protection, MHPSS and/or gender equality/GBV programming desirable
- Knowledge or experience of NGO work desirable
- Excellent interpersonal skills
- Strong verbal and written communication skills in English (required) and Russian/Ukrainian
- Computer literate (including proven working knowledge of all Microsoft Office applications)
- Excellent attention to detail, organizational skills and discretion with confidential information
- Ability to work independently and proactively through engagement with individuals across departments and in multiple locations/offices across Ukraine
- Proven ability to work under pressure, handle challenging workload and effectively prioritize tasks
